E-mail perfection with ChatGPT
Welcome to The Flock! Our occasional (and aspirationally weekly) newsletter providing you with the up-to-the-minute insights on how to best use AI in your day-to-day work.
Using ChatGPT to write better e-mails that need less revision
Everyone hates sending emails, right? On average, more than a quarter of our time at work is spent on emails - a relatively low-value task that most of us would like to semi-automate. We’ve all experimented with ChatGPT to draft e-mails for us, but while it is easy to get 50% of the way there, it can be challenging to generate an email that sounds just like you and is ready to send.
Here is a five-step technique to get you there faster. Even though this might seem like a lengthy process, you only have to prepare your sample emails once. You can save them in a Word document or other text files for easy access in the future.
Craft Examples of Your Tone: Prepare a couple of sample emails that capture your tone of voice. Simply replace any personal or confidential information with descriptive placeholders in curly brackets like {PHONE NUMBER}, {DATE OF BIRTH}, or {FORECAST SALES}.
Initiate a Conversation with ChatGPT: Start a chat and say, “I’d like you to reply to some emails for me in my tone of voice. I will provide you a couple of examples of how I write emails. Please confirm when you’ve understood.” Then, include the prepared example emails below your message.
Prepare the Email You Need to Respond to: Just like with your examples, replace personal or confidential information with appropriate placeholders.
Send Your Request to ChatGPT: Tell ChatGPT, “Please respond to the email below using these bullet points:” and then include bullet points with the information you want to convey, followed by the prepared email you want to respond to.
Fine-Tune Your Response: Once ChatGPT has replied, you can ask it to critique the email response it wrote and then request an update based on that critique. Voilà! You have a polished email that’s ready to send.
We hope this technique helps you zip through your emails, freeing up more time for the things that truly interest you. Let us know how you get on!
And finally - AI meets hip hop
More and more brands are building AI tools for use as high-engagement marketing devices. Sprite recently launched this hip hop album generator, allowing everyone to experiment with AI image and music generation using a chatbot interface. Fun to have a play with - and perhaps food for thought for your next campaign?
